Online Meetings
One of the easiest online software programs I've come across to hold meetings is GoToMeeting. Once you schedule the meeting it will be placed in your Outlook Calendar and Lotus Notes, as well as instant-messaging applications and even gives you notices that it's time for your meeting. You can share as many programs on your computer as you want, so if you just want to show a PowerPoint presentation that is all the attendees will see, but if for some reason you need to open another program due to a question someone may have asked, you can easily do that as well. All your information is secure because they use an end-to-end 128-bit AES (Advanced Encryption Standard) encryption for all data screen images, files, keyboard and mouse input and chat text.
I can think of several possibilities for the use of this program, here are just a few:
1. Your local Chapter holds monthly meetings but the attendance is down. I suggest you offer your members three ways to attend the meeting—in person, online, or download an audio taped version when it is convenient for them to listen.
2. You have several satellite facilities that you are overseeing and traveling back and forth several days a week is just cutting too much time out of your workday. I suggest you schedule an online meeting for the times you don't need to be on-site so that the traveling time is minimalized. This is also great because if someone cannot be at the meeting they are always up to date on the project with the ability to download the audio tape of the meeting.
3. You are working on a Grant Proposal with several other people and you need their input. You can meet with them online to share, discuss and edit any of the documents you need for the proposal. The program allows you to change presenters throughout the meeting so sharing your data is right at your fingertips.
What's really nice about this program is that the organizer of the meeting receives an ID and you can specify your own password which ensures that only the ones you invite can have access to the meeting information. Not even Citrix Online (the software company for GoToMeeting) never knows what password you are using.
